Where's My W-2?

February 10, 2008

You want to file your taxes.  You want to get that refund.  But you still haven’t received that final W-2.  What can you do?  Keep in mind that W-2s don’t have to be mailed until January 31; be certain you’ve given a reasonable amount of time for it to arrive through the postal service.

If you still haven’t received your form, call your employer and confirm that they have your correct mailing address.  If they do, ask when the W-2 was mailed.

If you STILL haven’t received your W-2 by February 15, you can call the IRS for help at 800-829-1040.  You’ll need to have the following information:

  • Employer's name, address, city, and state, including zip code.
  • Your name, address, city and state, including zip code, and Social Security number, and
  • An estimate of the wages you earned, the federal income tax withheld, and the period you worked for that employer. The estimate should be based on year-to-date information from your final pay stub or leave-and-earnings statement, if possible.

When you reach the IRS, you will need to tell them that you contacted your employer and that you still have not received your W-2.  They will take your information and review the items listed above.  The IRS will send a letter to your employer notifying them that they must send you the W-2 or they’ll be fined.  The IRS will also send you Form 4852 – Substitute W-2 Form – so you can complete your return.

If you misplaced your W-2, contact your employer. Your employer can replace the lost form with a “reissued statement.”  Be aware that your employer is allowed to charge you a fee for providing you with a new W-2.

You still need to file your tax return on time even if you do not receive your W-2. If you do not receive the missing information in time to file, you can use Form 4852, Substitute for Form W-2, Wage and Tax Statement.  Attach Form 4852 to the return, estimating income and withholding taxes as accurately as possible.

Our trained preparers at PRO-TAX can assist you in filing your return – whether you have your W-2, or need to file with Form 4852!  Stop by your nearest PRO-TAX location today!

Hi Renita! It's possible that the Employer Identification Number (EIN) is correct on the W2, in which case the employer name may not be a problem.

In many cases, the company you work for has a "parent" company, which processes your payroll and your W2s.

If you feel this is not the case, you could contact your local IRS office (you can find this information on the IRS website at www.irs.gov) and ask them for further assistance. If your W2 is incorrect, they will issue you a substitute W2 that you can use to file your return.

It is February 5th and I still have not received my W2. I know legally they had til the 1st of February to post mark it, but it should have made it already being that they had the right address to mail me my last pay check. I worked for Dunn Bros in Rochester, MN and I know this is another childish act that she's doing, Isn't there anything I can do, Report now to the IRS or Better Business Bureau or something! They can't keep doing this to their ex-employers!

Im still missing my w-2 from the previous job that i worked at and now its March 5, 2010. I called them and told them my new address a month or so before the w-2 where coming out and they said that they would get it to las Vegas so it would come to my new address . So i waited a couple weeks after january and called to company back to see if they have recieved it and they said no. They have given me the number to call las vegas and i left a message for them to call me back. ( i had to call at least 4 times to get any answers from anyone) Now the lady that sends them out is telling me that she has to have my S.S. number and drivers license to be able to send them out to me, i asked her why and she said that she didnt want my S.S. number to be floating out there because anyone could call in and say it was me which i get, but if they did send it out to the wrong address it already is. I dont understand why i couldnt just tell them my correct address and get it sent out? im having a hard time with these people giving me the run around about it what should i dont

I've read that the employer has until February 15th to deliver your w-2, but my employer did not deliver my w-2 until February 24th. My employer does not run his business properly, and I feel there should be repercussions for his careless. Is there anything that can be done?
Gina, 02/27/2012:
Good morning Heather!

If you feel your employer is not running their business properly, then from a taxation standpoint you can contact your local IRS office and let them know about the difficulties you had in receiving your W2 (lateness, if the W2 shows incorrect wages or withholdings, etc.) To find a listing of local offices, visit http://www.irs.gov/localcontacts/index.html

If there are other issues besides payroll and taxation that you feel need to be addressed, you can also contact your local Better Business Bureau. More information for BBB can be found here: http://www.bbb.org/us/Consumer-Complaints/
